Define a task before specifying AI
Write the task the device must perform in ordinary language. An AI business laptop, an educational robot kit and a robot vacuum address different needs. For office work, list the applications and data requirements. For cleaning, describe the rooms and floor conditions. This makes it possible to compare the actual hardware and supported software instead of selecting a device because AI appears in its name.
Check dependencies and ownership
Ask which functions operate locally and which depend on an app, account, network connection or separately licensed service. Confirm who will manage the accounts and updates after delivery. A catalogue hardware price does not establish that every software feature or subscription is included. For a business order, keep the exact configuration and any required accessories with the purchasing record.
Prepare the enquiry
For AI devices and connected technology, send the selected product reference, quantity and delivery area together. Add photographs, dimensions or a configuration list where they explain the requirement. Separate essential features from preferences so alternatives can be assessed properly. Review the final quotation against that brief, including VAT treatment, included components, additional work and the proposed delivery arrangement.
